EXPERIENCE THE WORLD

Winterim is designed to challenge students to expand their knowledge beyond present experiences and to encourage a love of learning. This is accomplished by a small group of students working closely with a faculty member in various non-traditional travel courses. Winterim provides opportunities to fulfill the school’s mission through exploration in academics, arts, outdoors, and athletics. Enrichment opportunities are also offered through cultural exchanges, community service, and internships. Participation in Winterim is required for all upper school students.

what Do i need to know about winterim?
  • Winterim courses are designed for Brentwood Academy students in grades 9-12 only; participation by a non-fully enrolled student is not permitted.
     

  • Winterim days are considered academic days in our school calendar; thus, the absentee policy is the same as any normal school day. However, any absence from Winterim requires a doctor's note to be excused. Each day a student has an unexcused absence will result in three hours of Saturday detention.
     
  • Brentwood Academy coordinates all travel and logistics. BA faculty and staff are responsible for the students from the beginning of the course to the end. 
     

  • Once a student has been placed in a course, changes may not be made. Therefore, it is imperative that the student and parent discuss cost options for Winterim courses. Please do not sign up for a course if all course requirements, including costs, cannot be met.
     
  • Individual Winterim courses will not be allowed. Such courses do not meet the goal of small-group interaction. All students should choose a Winterim course from the courses provided (please note that Internships and Choosing to Serve Winterim options are offered in local courses). A student choosing an alternative program from what is available within the travel and local course offerings must use his/her parent request days (limited to three days per school year).
     
  • Only students in grades 10-12 may travel out of state. Students in grade 9 should select a local or in-state Winterim.
     
  • Some courses require a non-refundable deposit at registration.
     
  • Due to grade level priority, course popularity, and limits, not all students will receive their first choice. Students should be prepared to register for another course if their first choice is filled.
     
  • No one may participate in a course in which he/she has participated in any previous year. The only exceptions to this are service learning trips, Internships, and Choosing to Serve Winterim courses.
How do i register for a course?

Registration for Winterim courses is conducted exclusively online.

Registration for Educational Travel (grades 10-12) is in May, and registration for local courses (grades 9-12) is held in September. 

During each registration period, students will register in waves based on grade level. Once registration is open to a grade level, those students will be able to register throughout the process.

By the close of September registration, every student in grades 9-12 must have completed registration for their official Winterim course selection. Student placement on the waitlist for a course is not considered registration for a course. 

Students may not register for multiple courses. However, you may indicate a second-choice preference during the registration process.

when are deposits and payments due?

Payment (either partial or full) is required at the time of registration. Each course will determine the payment due to register. Deposit amounts differ according to the overall cost of the course. Several courses will offer payment plans.

If the student is placed in the course and decides to withdraw, the deposit will not be refunded. Thus, it is imperative that parents and students discuss Winterim options before completing the registration form. Please see the note on withdrawals in the course offerings. 

Payments for online registration are accepted only via credit/debit card.

how do WAITLISTs or SECOND CHOICES work?

If your first choice course is full, you are welcome to sign-up for that course's waitlist. You do not need to pay a deposit on the waitlist, but you must pay for an open course to hold your spot. However, by the close of fall registration, students MUST hold an active seat in a course. Signing up for the waitlist does NOT constitute as enrolling in a course.

Since you can give a second and third choice option, you will only waitlist if your first choice is full. Please do not waitlist for multiple courses.

Do NOT register for TWO courses. Register and pay for ONE course ONLY.

Note: During registration, if a spot opens in a course, then students on the waitlist by registration time will be automatically placed in that course.

Students who no longer wish to be on the waitlist for a specific course must notify the Winterim staff to remove them from the list.

What is the refund and cancellation policy?

Educational Travel Refund Information:

We are bound by contracts with travel companies. If you must withdraw from a travel course for any reason, you will only receive a portion of your payments in return. See all dates and details in the educational travel course offerings catalog. 

Is there a participation waiver to be signed?

Yes. All participants must have a signed Winterim participation waiver on file. Below is a waiver sample.

AUTHORIZATION AND RELEASE OF LIABILITY AND WAIVER

I, the parent or guardian of the child named in this registration, authorize the participation of my child in the Brentwood Academy WINTERIM program. I understand and acknowledge that the participation of my child in WINTERIM shall be undertaken at mine and my child’s own risk.  I understand and acknowledge that participation in WINTERIM may involve strenuous and prolonged physical activity. I agree that my child is healthy and able to participate in WINTERIM activities.  
 

I further understand and acknowledge that my child’s participation in activities of WINTERIM may involve the risk of injury and even death from various causes, including but not limited to accidents, falls, strenuous and prolonged physical activity, dehydration, illness, collision or dispute with other participants, weather related injuries, playing area and equipment defects, and negligence of WINTERIM instructors or chaperones. On behalf of my child, me, and my family, I assume these risks.  In consideration of the opportunity for my child to participate in WINTERIM, and on behalf of my child and me as parent/guardian, I hereby release, discharge, hold harmless and indemnify, and covenant not to sue, Brentwood Academy and WINTERIM, and all of Brentwood Academy and WINTERIM’S directors, officers, trustees, employees, coaches, volunteers, insurers, agents and representatives, and all other persons associated with Brentwood Academy and WINTERIM (including without limitation any WINTERIM supervisors and workers) as to any and all claims of my child, me and other family members for personal injuries of any type suffered by my child, property damage, medical expenses, and economic loss arising directly or indirectly out of my child’s participation in WINTERIM, and any first aid, medical care or treatment provided to my child in the event my child is injured or becomes ill while participating in WINTERIM activities, and excepting claims that may not be released under applicable law. This Release of Liability shall be as broadly construed as allowed by law to include all claims and rights that my child, that I as parent/guardian, and that other family members may have, including all claims allegedly related to a negligent act committed by Brentwood Academy and/or WINTERIM and/or  its directors, officers, trustees, employees, coaches, volunteers, insurers, agents and representatives, and all other persons associated with Brentwood Academy and WINTERIM (including without limitation any camp supervisors and workers). I am a legally responsible parent or guardian of my child. If any provision of this Release of Liability is deemed invalid, the remaining provisions shall remain in full force and effect. This Release of Liability shall be binding on me, my family, heirs, next of kin, legal representatives, beneficiaries, successors and assigns.  
 

CONSENT TO MEDICAL TREATMENT

In the event my child is injured or becomes ill in WINTERIM activities, and if I, the parent or guardian of the above-named child, am not present to make medical decisions, I hereby authorize my child’s WINTERIM sponsor or coach, chaperones, volunteers, or WINTERIM personnel to arrange for and consent on my behalf to emergency medical and dental care and treatment, including tests and radiological exams, and surgery, and hospital care and treatment, and to consent to medications for pain and other conditions as prescribed by medical personnel attending my child. I am responsible for payment of any medical charges or expenses not covered by my insurance or the insurance applicable to my child (if any). I further understand and acknowledge that Brentwood Academy and WINTERIM do not provide insurance protecting me against any loss of any type, including but not limited to medical and/or hospital expenses arising from injuries of any type suffered by my child at Brentwood Academy or any alternate locations while participating in WINTERIM.  
 

My signature below indicates that all information provided in this form is true and accurate, and that I fully agree to all statements made on the form, including but not limited to the Authorization and Release of Liability and Waiver and Consent to Medical Treatment. My signature also indicates that all legal guardians are aware and consent to the participation of the above-named child.
 

By entering my full name, I certify I am a parent, guardian or other adult with legal parental authority to complete this registration and that entering my name below constitutes my signature on this Authorization and Release of Liability and Waiver and Consent to Medical Treatment.
